- Disseminate information from the Board of Directors to the LJAA membership via email
- The committee head is responsible for emailing the members of the committee
- Each committee member is responsible for communicating with between 7 and 15 LJAA members
- Oversee & manage all LJAA events
- Organiza all aspects of LJAA events, e.g. Farmers Market, Art Walk, possible Open Studio
tours and "Promote La Jolla" activities
- Support the Exhibition Director in scheduling & maintaining the LJAA Exhibition Schedule
and all member exhibitions in the Gallery
- Responsible for all aspects of the Annual All Members Show, including revisions to the
Annual Show Request form. Utilize the Show Requests to create and publish the Exhibition
Schedule
- Update & create the Group Leader Information Packets, including training
- Arrange for meeting & training the Group Leaders each exhibition year
- Develop & supervise all LJAA-sponsored fundraising events
- Present ideas for new fundraising activities and for collaboration with other organizations
- Raise funds through Grant identification and writing; corporate sponsorships; and donor development
and participation.
- Develop special events and Membership fundraisers
- Oversee the general upkeep of the gallery
- Replace all gallery supplies including light bulbs, bathroom supplies, paper towels, etc.
- Maintain walls and carpet, including, but not limited to cleaning and painting
- Change combination on key box approximately every two weeks
- Train LJAA members on use of key box approximately every two weeks
- Ensures that the gallery or any other LJAA exhibition venue requiring the supervision of a
sitter is open at all scheduled times
- Members are available on short notice (no less than 36 hrs.) to come and sit at the venue
when scheduled sitter does not show
- Members are on a call list for emergency substitutions when someone cannot keep a prior
commitment
- Members are available to sit at the venue when no one can be found for the task
- Gallery sitters are paid a fee of $25 per four hours (or fraction thereof), made out
to LJAA and given to the Show Group Leader
- Oversee & facilitate the individual Group Member Shows
- Meet with the Exhibition Director for the Group Leader Meeting
- Hold at least one meeting with assigned group between 6 and 8 weeks prior to show date
- Facilitate decisions including sitter schedule, reception, invitations, wall assignments,
price lists, and labels
- Receive and forward checks covering Gallery Fees; retain Security Deposit checks until
end of show
- File report with Exhibition Director regarding performance of Group Show
- Supply refreshments and hosting for LJAA events, including but not limited to the All-County
Annual Show, All-Members Show, and the Annual Membership Meeting
- Plan and purchase refreshments and supplies, set-up, and clean-up of all events requiring
the use fo the Hospitality Committee
- Process & mail all bulk LJAA mailings
- Process mailings for newsletters, rosters, membership drives, exhibitions, etc.
- Fold, staple & weigh any documents or forms for mailing by LJAA bulk mailings
- Develop & supervise production & dissemination of all materials
promoting LJAA
- Process all membership forms & dues
- Accept all membership materials
- Maintain and update LJAA membership database and roster throughout the year
- Publish the LJAA roster annually, supplying all members with roster & membership card.
- Publish the bimonthly newsletter
- Collect information for dissemination to the LJAA membership
- Write articles and take photographs for publication in the LJAA newsletter
- Ensure that the Mailing Committee has labels for the entire membership
- Seek out and acquire advertisements to defray publishing costs
- Maintain, schedule, and develop strategies for implementing the LJAA Lecture Series, workshops,
classes, and any other outreach activities as perscribed by the Board of Directors
- Establish new venues for lectures, and implement each annual series of 12 lectures
- Implement membership requests to provide workshops and classes; schedule and keep records
of attendance and related information for all Outreach activities
- Work with Marketing Committee to maximize attendance
- Assist the President in activities related to the office
- Assist with outside exhibition activities in the gallery, including promotion, installation,
take-down, and all other necessary jobs related to these activities.
- Develop & supervise production and dissemination of materials promoting LJAA
- Create brochures introducing LJAA and describing membership, community service, etc.
- Contact community service organizations & other arts organizations to inform them of
LJAA activities; coordinate activities when appropriate
- Develop publicity for any special events held/hosted by LJAA, including but not limited
to the Annual Gala, Annual All-County Show, the All Membership Show, lectures, classes,
and workshops
- Photograph the above listed events
- Develop and distribute press releases, public announcements, and all other marketing
activities as the Board determines.
- Assist the Vice President in activities related to the office
- Assist in the preparation for semi-annual Membership Jurying, including communication with
both accepted and rejected applicants.
